Introduction to Manage Orders Page
Navigate to: Commerce Portal Pages > Manage Orders Page
Manage Orders page is where all the Orders that are accessible to the logged-in user will be displayed with the following views based on the user’s permissions:
- All Orders
- My Team’s Orders
- Managed Orders
- Delegated to Me
- Followed Orders
- My Orders
From the dropdown of available views, the users can switch between the different views listed above.
Manage Orders Page Views
Here is the detailed information about each of the views.
- All Orders
- This view will be visible to the users if the “See All Orders” permission is set to true.
- All Orders in the Commerce Portal will be displayed in this view.
- Default Sort:
- Order Number
- Descending
- Order Number
- My Team’s Orders:
- This view will be visible to the users if the “See My User Groups Orders” or “See All Orders” permission is set to true.
- Orders that have at least one User Group in common with the User Groups assigned to the logged-in user will be displayed in this view.
- Default Sort:
- Order Number
- Descending
- Order Number
- Managed Orders:
- This view will be visible to the users if the logged-in user is set as someone’s Manager.
- This view will display all Orders, where the logged-in user is set as a manager for the Order Owner.
- Default Sort:
- Order Number
- Descending
- Order Number
- Delegated to Me:
- This view will be visible to the users if the logged-in user is set as someone’s Delegate.
- This view will display all Orders, where the logged-in user is set as a delegate for the Order Owner.
- Default Sort:
- Order Number
- Descending
- Logged-in users can assign these Orders to themselves even if the permission “Assign To Me” is set to false.
- Order Number
Followed Orders
This view will be available to all the users.
This view will display the list of Orders that the logged-in user is following.
Default Sort:
Order Number
Descending
My Orders
This view will be available to all the users.
This view will display the list of Orders that are assigned to the logged-in user i.e. Owner = logged-in user.
Default Sort:

Manage Orders Page Tools
Users can also select the stores to filter Orders based on each configured store or can select “All Stores” to view Orders from all the Stores.
Following action buttons are available for all the Orders that are accessible to the Users:
- Quick View
- When the user clicks on the Quick View action button, the Quick View pop-up will appear with the following details about an Order:
- Order Header will display the following information:
- Order Number
- Order Total
- Order Status (including the color style)
- In the next section:
- Customer Name
- The First Name and Last Name of the Customer.
- Company Name
- If an Account is associated with the Order then Account Name will be displayed.
- If not then the Company Name from the shipping address will be displayed.
- Shipping to
- City and State/Province from the shipping address.
- Blank if no address has been defined yet
- Order Date
- Date and Time of Order Creation
- Order Type
- If not set - this label and field will be hidden.
- Shipping Method
- Blank if no method has been selected.
- Owner
- Display the name of the admin user the Order is assigned to
- Or the word “Unassigned” if the Owner is blank.
- Last Updated
- This will show the time when the Order was updated last time.
- Fulfilled Date
- Order Fulfilled Date from the Order details will be displayed here.
- Display “N/A” if not filled in.
- Customer Name
- Product Header will display the following information:
- Product Name (#) - Total number of line items.
- QTY (#) - Total quantity of all the line items
- For the line items, the following information will be displayed:
- Product Name
- SKU
- QTY
- Price
- Total
- Open Order
- Clicking on this action icon will open the edit/manage Order screen.
- Assign To
- This action icon will help the logged-in user to assign the Order to other users based on the permissions (as explained above).
- Duplicate Order
- This action icon will create a duplicate record of the selected one.
- Users can duplicate Orders in the following ways:
- With Shipping Information
- Without Shipping Information
- A new Order will be created and the following information will be duplicated:
- Store Information
- Account Information
- User Information
- Order Type
- User Groups
- Order Flags (in open state)
- Products
- Product Flags (in open state)
- Order Notes
- Order Status and Line Item Status will be the default Status.
- Owner of the Order will be the user who is duplicating the Order.
- If the option to duplicate ‘Order with Shipping Information’ is selected then the following shipping information will also be duplicated:
- Ship To
- Ship To Phone
- Shipping Method
- Tracking Information
- Shipping Option
- Shipping Notes
Manage Orders Page Saved Views
Displays the list of all the custom views that match the following conditions:
- Views that are created by the logged-in user.
- Users can check/uncheck columns, add/remove filters, and set sorting parameters before saving a new custom view.
- Views that are shared to a User Group that the logged-in user is assigned to.
- icon will be displayed in front of these views
- Views that are shared with everyone
- icon will be displayed in front of these views.
- icon will be displayed in front of these views.
The view names will be sorted alphabetically, and the logged-in user can edit the views they created or shared with them.
- When the logged-in user clicks on the edit icon, they can:
- Update the View name.
- Share with User Groups/Everyone based on the permissions. The logged-in users can share multiple views at the same time.
- After making the changes to the view, the logged-in user can either save the view or discard the changes.
- Also, they can delete the selected view as well.
The logged-in user can set the preferred view#1, preferred view #2 and preferred view #3 for any of the views that are either created by them or shared with them.
- For every view, will be displayed. Clicking on any of the numbers will set that as the preferred view.
- Example: As shown in the below screenshot, View Example #1 as set as preferred view #1 by clicking on 1 thus it is displayed on top for switching to the preferred view with a single click.
When a user clicks a view:
- The view will become selected and the Manage Orders Section will change to that view.
- The selected view will be highlighted with Blue Color.
Users can share the views that are created by them or shared with them in the following ways based on the permissions they have:
- Share with User Groups
- Users can share views with User Groups that the logged-in user is part of.
- Share with Everyone
- Users can share views with all the other users.
